How We Approach a Corporate Brief

Most corporate enquiries start as a venue request: how many guests, which date, which room. Before we quote anything, we ask what the event needs to achieve, because that changes the plan.

A gala dinner might exist to celebrate a strong year, to lift morale after a hard one, or to give a nervous CEO a low-pressure moment on stage before a bigger announcement later in the year. A conference might be about closing out the year's sales numbers, or bringing a remote team back together in person. The guest count and the venue can look identical for two events with completely different goals, but the running order shouldn't be.

Once we understand what the event is actually for, we build the running order first and choose the venue and design around it. This is why we check the schedule before the décor: a gala where the awards segment runs 40 minutes over time has failed no matter how good the room looks, and a conference where nobody talks to anyone else has failed no matter how good the stage design is.

What We Ask on the First Call

  • What does this event need to achieve for your business?
  • Who is presenting or speaking, and what would help them feel prepared?
  • Which team, department or client group needs to come away feeling recognised?

What You Get Back Within a Week

  • A minute-by-minute running order, built before any design work starts
  • Two venue options, each costed against that running order
  • One complete budget, with no “price on application” line items

Technical Production, Run In-House

We hold the technical brief ourselves rather than passing it to whichever AV company the venue prefers. It costs us margin and saves the client the conversation where nobody owns the problem.

Audio

Audio

Line array and point source systems, delay positions for open and long rooms, radio mics, lecterns, IEM and comms, playback and band/DJ input management.

Video & Content

Video & Content

LED wall, projection and confidence monitors, presentation control and speaker rehearsal, multi-camera capture, IMAG and live stream, motion graphics and opening films.

Lighting

Lighting

Key, fill and back light rated for camera, a follow spot that's rehearsed rather than improvised, architectural wash, uplight and gobo, table candle and pathway lighting design.

Staging & Power

Staging & Power

Deck, riser, ramp and set build, ground support and truss rigging, generators, distribution and redundancy, method statements and risk assessments.

The Room, on the Night

The Room, on the Night

A written running order to the minute, a named show-caller on comms, full technical rehearsal before doors, speaker walk-through and cue check, contingency for the two most likely failures, a de-rig plan agreed with the venue in advance.

Photography & Videography

Photography & Videography

Dedicated event photographers and videographers working alongside the technical team, capturing the stage, the room and the guests without getting in the way of the production.

Every technical cue, including lighting and camera movement, is rehearsed before guests arrive. Nothing on stage is worked out live in front of an audience.

Case Study

An Outdoor Conference for an Aerospace Manufacturer

One client moved their regional conference from a hotel ballroom to the open desert at Bab Al Shams. We built everything a conference venue normally provides, from scratch: backup power, a sound system designed for open ground rather than a closed room, camera equipment, and a live stream connection. The stream ran without interruption for the full session, reaching viewers in 47 countries.

Frequently Asked Questions

Anything run for a company rather than an individual or family: gala dinners, conferences, product launches, team building, incentive travel and staff celebrations. The planning approach is different too, corporate events are built around a running order and a business outcome first, design second.
In-house. We hold the technical brief directly rather than handing it to whichever AV company the venue prefers, because that's usually where accountability gets lost on the night.
Three to six months for most formats. Peak season, October through March, and any date near UAE National Day, Diwali or year-end, books out faster, so six to twelve months is safer if your date falls in that window.
Yes, including open-air conferences with the same technical standard as an indoor auditorium, line array, redundant power, camera and live stream. Timed for early morning or after sunset so the light and temperature work in your favour.
A venue's team represents the venue. We represent you, and we're not tied to any one property. If a different venue serves the brief better, we say so.
